|
Event Summary:
Snowmass Thursday Night Free Concert Summer Series will begin 6/28 and run every thursday until 8/16. Expected attencence is appx 1500-3000 each evening.
Tumbleweed Productions (TWP) will facilitate and staff all on-site planning and production elements. Volunteers will be coordinated by TWP to assist box office, gates etc. Training will ongoing throughout series. TWP will contract many vendors familiar with event including Luis Mendoza w/ Lamas events and Alchemy Concert Systems. In addition we plan to hire Aspen Event Security (Meeker) to provide site security. We will coordinate number of security personnel needed in conjunction w/ AES and TOSV PD based on expected attendance and information from previous years events. Event is free to the public. Amplified music each evening on Fanny Hill stage. Approx 6-8pm.

Site Plan (and maps):
Site plan for 2012 will follow closely prior years. Fanny Hill stage will be utilized for entertainment with fenced area for audience & cash bar.
One major factor for this years event will be the construction at the Silvertree/Weston property. TWP will work closely with TOSV Police, SWFPD etc to make necessary modifications to ensure a safe & accessible venue. | ||||||

Security Plan:
TWP is planing to contract Aspen Event Services to head up security. Randall Meeker will act a primary contact.
Exact numbers of security personnel TBD. TWP will coordinate closely with AES and TOSV PD to determine exact numbers and positions, but will include: entrance/exit, backstage access, bar areas, rovers, perimeter and any other positions deemed necessary by TWP, TOSV PD & AES . TWP will, of course, continue to build upon our strong relationship w/ TOSV PD, and determine where/when public law enforcement may be needed. | ||||||

Medical Plan:
TWP will use 911 to summon emergency services.
Emergency checkpoint will most likely have to relocated from Elbert lane due to construction @ Silvertree. Alternative checkpoint and EMT staging can be discussed with SWFPD and TOSV PD to determine best alt staging area. Safety Plan:
Site capacity for the Free Series is appx 5000. Expected attendance is between 1500-3000
Egress will begin at appx. 8pm. Primary egress will be thru Village Mall to RFTA & Village Shuttle stops and to numbered lots. There will be no divergence from a plan that is approved by the SWFPD & TOSV Police. This plan will include: -Establish and maintain fire/emergency access lanes to grounds, backstage, vendor/concession areas. -All entrances and exits marked on site plan. -All structure will have flameproof certifications and will meet uniform fire code. -Fire extinguishers will be provided for structures as per code. -Paramedics/EMTs on site for festival operating hours. -TWP will schedule a site walk thru with SWFPD & TOSV Police prior to event. -Any deviations will be approved by SWFPD and TOSV Police. Public Address will be from Fanny Hill Stage and provide information and direction in case of emergencies. Event will go on rain or shine. | ||||||

Transportation/Traffic Plan:
TWP will be promoting the use of public transportation to the event as parking around Snowmass Mall will be extremely limited. Attendees will be encouraged to utilize RFTA & TOSV Shuttles to attend event. Promoted parking will be in Base Village garage, Rodeo Lot and Intercept Lot.
TWP will coordinate with RFTA and TOSV shuttles to determine what additional services will be required to accommodate expected crowds for arrival and egress. | ||||||

Parking Plan:
Use of public transit ( RFTA & Snowmass Village Shuttles) will be highly encouraged and promoted as favored transport to event.
Numbered parking lots in village will be primary parking for lodge guests. Additional spaces avail for free summer parking. Base Village Parking Garage-Avail parking for event days. Normal rates would apply. Transport to festival via "Skittles" TWP will comunicate with both garage and gondola operators on expected attendance, operating hrs etc Rodeo/Town Park Lot-Avail parking event days. Dirt lot behind Rodeo arena will be used as overflow from rec center lot. Transport to event via Village Shuttles. Again, TWP will be in communication with Police, Village Shuttle, rodeo operators etc throughout planning and event days. Intercept Lot-Avail parking event days. Transport to event via RFTA buses. Parking signage will be coordinated between TOSV Public Works and TWP. | ||||||

Sanitation/Recycling Plan:
TWP will be coordinating with Luis Mendoza @ Lamas events for site management. This company has been hired in this capacity for this event for several years and is well acquainted with the event. They will perform daily site sweep as well as oversee all production entities to ensure they maintain their spaces in accordance to event & wildlife standards.
The equivalent of 20 portable toilets will be brought on site for event attendees. All toilets, hand washing stations etc will be serviced prior to event the following week. Potable water will be provided to festival attendees . | ||||||

Alcohol Mitigation Plan:
A special use liquor license will be applied for with the TOSV by TWP for concert dates. TWP will provide TIPS trained bartenders for service. Identification will be checked at the entrance gate. No one appearing intoxicated will be served. We intend to keep very strict control on the sale of alcohol at this event. Concert-goers will not be allowed to bring alcohol or glass containers in to the festival site. The only exception would be for special dietary needs (e.g. diabetics and infants).
Security throughout the Festival will be put on notice to keep a sharp eye out for underage or abusive drinking, and will be thorough in bag checks at the front gate. ALCOHOL & DRUG MITIGATION In a continuing effort to keep the safety of our attendees the top priority, TWP will continue to promote the problems associated with intoxication in our PSA campaign and stage announcements. “DON’T DRIVE INTOXICATED” signage will be posted in all festival parking lots. Vehicles that are left in designated parking lots for this reason will be tolerated with no fine. | ||||||

Accessibility Plan:
Clear path of travel around venue- ADA accessible.
ADA toliets available on site. ADA parking available at each festival parking location. All RFTA & TOSV Shuttles are ADA accesible. Through egress each night, the area surrounding the site will be appropriately lit in order to avoid confusion and mishap. | ||||||

A special event liquor permit will be submitted to the TOSV Clerk at least 30 days prior to event.

TWP will manage and coordinate any food & beverage vendors. All appropriate health permits and licences and insurance will be secured by the individual vendor and provided to TWP and Pitkin Health Dept.
All food and beverage operators will have a mandatory meeting with the Health Dept. and Animal Control prior to opening of festval. | ||||||
